OneIT Working Groups Update – April 3, 2020

Although March had its setbacks, OneIT working groups continue to advance toward developing solid recommendations for the blended IT environment to come. Below, the Customer Service, Communications, and Human Resources and Financial working groups provide a pulse check on their reinvigorated focuses.

Customer Service Update

The Customer Service working group assessed the current state of IT services within ITS and areas impacted by OneIT. Each unit presented on their operations and support, both standard and specialized. The group continues to forge ahead, developing the desktop support model and zone concept.

Communications Update

Subcommittees audited OneIT-related website, print, and social media content to understand the scope of OneIT communications. The deep-dive uncovered means to streamline communications across units for the benefit of their defined audiences. As an example, the print subcommittee found a new employee guide, which has been provided to new hires during orientation and made available online. The team identified a digital touchpoint sooner in the onboarding process to improve message retention. The website subcommittee has worked hard to grasp the current online presence of the services and staff that will shift to OneIT. The group will recommend a renewed, customer-focused website where University faculty, staff, and students will easily experience University IT support, training, and FAQs. The social media subcommittee has extensively evaluated the social presence of the units, colleges, and departments directly impacted by the shift to OneIT. The team works to recommend a new role for OneIT social media to appeal to the needs of our public audience at-large.

Human Resources Update

The Human Resources group continues to work on laying out a timeline of items to be completed by July 1 and during Year One, including EHRA position designation review, FLSA review, and the process to recruit for internal hire positions.

Financial Update

The group has reviewed personnel issues and works to recommend procedures for MCD allowances and PCards for employees transferring to OneIT. The group works on new org names and formatting their final recommendations, and they have requested a review of pre-implementation considerations before recommendations can be completed.
